For freelancers & consultants

Scattered freelance records? FlowForm fixes it.

FlowFormTax is the UK's Pre-Accounting Platform. For freelancers and consultants, it brings invoices and platform payouts from Stripe, PayPal, Wise, Upwork and Fiverr into one organised record — alongside software, subscriptions and home-office costs — so your books are accountant-ready before tax season starts.

Why freelancers struggle with record organisation

Freelance income doesn't arrive in a single, tidy payslip. It lands as invoices to direct clients, payouts from Stripe and PayPal, transfers from Wise, and net amounts from Upwork or Fiverr after platform commission. Expenses are scattered across SaaS subscriptions, email receipts and a home office. Nothing structures it for you — and HMRC still expects clean records.

Multiple clients & platforms

Direct invoices, Stripe, PayPal, Wise, Upwork, Fiverr — different currencies, different fee structures. Year-end reconciliation is a project of its own.

Gross vs net confusion

Platforms pay you net of commission. HMRC wants gross income with fees recorded as expenses. Get this wrong and your return is wrong.

Scattered software receipts

Adobe, Figma, Notion, Zoom, hosting, domain renewals — all in email, all VAT-receipt-able, almost all forgotten by January.

Year-end scramble

Reconstructing a year of freelance income from bank exports and inboxes at midnight on 30 January is not a tax strategy.

How FlowFormTax helps

The same four-stage pre-accounting workflow applies to every audience. Here is what it looks like for freelancers and consultants.

  1. 1. Capture scattered records

Log every invoice and payout as it lands — by client, platform, date and amount. Gross income and fees are captured separately.

  2. 2. Organised

Income is separated by source. Software, subscriptions, equipment and home-office costs are split from personal spending and tagged for tax.

  3. 3. MTD-ready

Records stay dated, digital and continuous throughout the year — not assembled the night before a deadline.

  4. 4. Accountant-ready

Export a clean CSV by quarter or by tax year. Your accountant — or your Xero/QuickBooks setup — starts from organised data.

Common freelancer expense categories

FlowFormTax ships with categories built around how UK freelancers actually spend money. These are the buckets your accountant will be looking for.

Software & subscriptions

Adobe, Figma, Notion, GitHub, hosting, domains, SaaS tools.

Home office

Simplified flat rate or business share of rent, utilities and internet.

Platform & payment fees

Stripe, PayPal, Wise FX, Upwork/Fiverr commission.

Insurance & professional

Professional indemnity, public liability, accountancy fees.

Travel & client meetings

Trains, mileage, parking, congestion, coworking day passes.

Equipment & devices

Laptop, monitor, peripherals, phone share — capital or annual.

Allowable expenses depend on your circumstances. FlowFormTax organises the records; your accountant confirms what you can claim.

Why pre-accounting matters for freelancers

Freelance records are naturally scattered — income arrives from several platforms in different currencies, and expenses sit across inboxes and subscriptions. Accounting and tax software work best when those underlying records are already organised. Pre-accounting is the layer that gets them there.

Making Tax Digital for Income Tax begins phasing in from April 2026. Self-employed freelancers above the income thresholds will need to keep digital records and submit quarterly updates to HMRC. FlowFormTax keeps those records MTD-ready throughout the year.

Working with your accountant

FlowFormTax does not replace your accountant. It feeds them — so they spend less time chasing missing receipts and Stripe statements, and more time on the things you actually pay them for: optimising allowances, advising on structure, and filing your return.

The platform is built with accountant oversight. Categories and exports are structured to match how UK self-assessment and MTD for Income Tax returns are actually filed, so handover is a CSV — not a conversation about which inbox the Stripe statements are in.
