FlowForm ("we", "us") provides a pre-accounting tool for UK self-employed users and microbusinesses, designed to be used alongside an accountant. This policy explains what personal data we collect, why we collect it, and how we keep it safe.
What we collect
- Account data: your name, email address, and password (stored hashed).
- Financial entries: income and expense records you create inside FlowForm.
- Technical data: timestamps for sign-ins to help secure your account.
How we use your data
We use your data only to provide the service: storing your records, calculating tax estimates, generating exports, and authenticating you. We do not sell your data and do not use it for advertising.
Service reminders
We may send you occasional service reminders based on the state of your account — for example, when entries appear unrecorded for a period of time, or when a compliance deadline is approaching. These are sent under our legitimate interest (UK GDPR Article 6(1)(f)) in helping you maintain accurate records, and are not marketing. You can disable Financial Order habit reminders at any time in Settings, or via the unsubscribe link in any reminder, without affecting essential account or compliance communications.
Storage & security
Your data is encrypted in transit (HTTPS) and at rest. Row-level security ensures only you can access your own entries. Backups are encrypted and retained for disaster recovery.
Your rights (UK GDPR)
You can request a copy of your data, request deletion, or close your account at any time by emailing hello@flowformtax.co.uk.
